Importing your Anglia Farmers import as bank entries

Using this option when importing your Anglia Farmers statement, it is imported as individual bank entries against a bank account called ‘Anglia Farmers’.

Using this method you can import your invoice and credit note files separately, or combine them and import as one file.

Bank rules can be used to help speed up data entry when using this method.

Notifying Anglia Farmers and what to do their end

To be able to produce an export file, you will first need to make Anglia Farmers aware that you are now using Farmplan Business Cloud and wish to import their statement into your accounts.
Please email them at help@af.farm for support with this step.

Once they have been notified, within your portal and once you have coded your transactions as normal, you will then be able to export a csv in either a bank or invoice format.

How does it work?

Before you can first import a statement, you will need to create a file import format specifically for your Anglia Farmers file.

Once this format has been completed, you can then import your files received from Anglia Farmers into the AF bank account.

When you make the physical payment to Anglia Farmers, this transaction in your main bank account will be coded as an inter bank transfer to your AF bank account.

Creating the custom file import format

You will first need to make sure you have setup a bank account called ‘Anglia Farmers’ with an input method of ‘File Import’.

Go to Banking | Bank Accounts and select the option to Add New Bank Account

Enter the name and ensure the entry method is 'File Import', and then save the new bank account.

Once this has been created, follow the steps below.

1. Go to Banking | Bank Accounts.

2. From the bottom of the banking screen, select Enter Transactions and ensure your Anglia Farmers bank account is selected in the drop down, and select Enter.

3. Select Custom Import Formats.

4. Add New Custom Import File

5. Give it a name of ‘Anglia Farmers’ and drag and drop, or browse to your Anglia Farmers file. Then select Upload Example File.

6. Set the top line as the ‘Headings?’ and the second line as ‘First Row of Data?’. Then select Create.

7. Configure the 3 columns as below:

Column 3 – Date – Linked to ‘DATE’ in format DD/MM/YYYY

Column 10 – TotalAmount – Linked to ‘AMOUNT’ in format ‘Money In & Out (CREDIT CARD)

Column 11 – Description - Linked to 'DESCRIPTION'

8. Save the custom import type.

Importing your statement can be split into 3 simple sections.

1 – Formatting the statement (optional):

1. From your Anglia Farmers member portal you retrieve 2 files - for Invoices and Credit notes. You can import both files individually, or you can combine them into 1 file by copying the data from the credit note file into the invoice file before importing.

Whichever method you chose, you will end up with the same data and transactions in Farmplan Business Cloud.

2. Save the new csv file (if you are combining data).

2 – Importing into Farmplan Business Cloud

1. Go to Banking | Bank Accounts.

2. From the bottom of the banking screen, select Enter Transactions ensure Anglia Farmers is selected in the drop down and select Enter.

3. Select the green File Import button.

3. Add a description, ensure the upload type is the custom Anglia Farmers, and drag and drop or browse to the selected file.

4. Save and Upload

3 – Confirming the statement

1. Select the green ticks

2. You will be presented with a screen similar to the bank feed. Work your way through and confirm the transactions. You can hover over the description to see all of the information required to help you allocate each entry.

What happens when the payment is made to the buying group?

When the payment leaves your main bank account, you will need to code this as an interbank transfer to your ‘Anglia Farmers’ bank account to complete the process.
