North Herts Farmers - Bank Entries

Using this option when importing your North Herts Farmers statement, it is imported as individual bank entries against a bank account called ‘North Herts Farmers’.

Bank rules can be used to help speed up data entry when using this method.

How does it work?

When you receive your file from North Herts, the first thing you will need to do is open the csv file and make a couple of amendments.

  1. In cells D1, E1 and F1 - delete the '£' symbol.

  2. N1 - rename to 'Date'

  3. X1 - add a new header called 'Description'

  4. X2 - copy and paste the formula =CONCATENATE(I2, " - ", M2, " | Net: ", E2, " | VAT ", F2, " | Qty", K2, " | Supplier - ", O2, " | Supplier Inv Ref: ", P2)

  5. Press Enter.

  6. Copy the formula down to the bottom row of data.

  7. Save the new file in a location that you will be able to find.

Creating the custom file import format

In Farmplan Business Cloud, you will need to make sure you have setup a bank account called ‘North Herts Farmers’ with an input method of ‘File Import’.

Go to Banking | Bank Accounts and select the option to Add New Bank Account

Enter the name and ensure the entry method is 'File Import', and then save the new bank account.

Once this has been created, follow the steps below.

1. Go to Banking | Bank Accounts.

2. From the bottom of the banking screen, select Enter Transactions and ensure your North Herts Farmers bank account is selected in the drop down, and select Enter.

3. Select Custom Import Formats.

4. Add New Custom Import File

5. Give it a name of ‘North Herts Farmers’ and drag and drop, or browse to your North Herts Farmers file. Then select Upload Example File.

6. Set the top line as the ‘Headings?’ and the second line as ‘First Row of Data?’. Then select Create.

7. Configure the 3 columns as below:

Column 2 - Invoice_Date - Change to 'IGNORE THIS COLUMN'

Column 4 – Invoice_Gross – Linked to ‘AMOUNT’ in format ‘Money In & Out (CREDIT CARD)

Column 14 – Payment_DueDate – Linked to 'DATE' in format 'DD/MM/YYYY'

Column 24 – Description - Linked to 'DESCRIPTION'

8. Save the custom import type.

Importing your statement can be split into 3 simple sections.

1 – Formatting the statement:

1. In cells D1, E1 and F1 - delete the '£' symbol.

2. N1 - rename to 'Date'

3. X1 - add a new header called 'Description'

4. X2 - copy and paste the formula =CONCATENATE(I2, " - ", M2, " | Net: ", E2, " | VAT ", F2, " | Qty", K2, " | Supplier - ", O2, " | Supplier Inv Ref: ", P2)

5. Press Enter.

6. Copy the formula down to the bottom row of data.

7. Save the new file in a location that you will be able to find.

2 – Importing into Farmplan Business Cloud

1. Go to Banking | Bank Accounts.

2. From the bottom of the banking screen, select Enter Transactions ensure North Herts Farmers is selected in the drop down and select Enter.

3. Select the green File Import button.

4. Add a description, ensure the upload type is the custom North Herts Farmers, and drag and drop or browse to the selected file.

5. Save and Upload

3 – Confirming the statement

1. Select the green ticks

2. You will be presented with a screen similar to the bank feed. Work your way through and confirm the transactions. You can hover over the description to see all of the information required to help you allocate each entry.

What happens when the payment is made to the buying group?

When the payment leaves your main bank account, you will need to code this as an interbank transfer to your ‘North Herts’ bank account to complete the process.
