End of Life Guide for Earnie

This guide has been created to support our customers as they prepare for the End-of-Life of Earnie Payroll software. As of the beginning of the 2026/2027 tax year (6th April 2026), you will no longer be able to process payroll in Earnie. As long as you are on v24.30 or later, you will continue to access Earnie, for compliance and reference purposes, even where your license has expired. You will not be able to run payroll unless with a valid license.

End of payroll processing

  • The last payroll run that is compliant and supported will be up to 5th April 2026

  • After 5th April 2026, you will no longer be able to process payroll

  • Whilst users will be able to access the product after the license expiry date, users cannot run a payroll without a valid license.

Producing P60s post-End of Life

For customers closing Tax Year 2025-2026 in Earnie, you will need to install the final End of Life version due in March 2026, in order to produce 2026 P60s.

End of Life

From 6th April 2026, Earnie will remain available but non-compliant, this means you will still be able to access the system after your license has expired but the subsequent tax years will not be supported for payroll compliance purposes.

You will be able to:

  • View historical payslips and employee records

  • Access year end documents (e.g. P60’s)

  • Export reports and data

Risk disclaimer

IRIS will cease to monitor the application for security and vulnerabilities from the 5th of April 2026, and the application will likely become more vulnerable shortly thereafter and eventually may become in-operable. Customers and Users who continue to host and access the software, do so at their own risk and IRIS accepts no responsibility or liability for the software.

As a result of this, our recommendation is that any information required for legislative purposes is downloaded and be stored securely elsewhere.

Your responsibilities before 5th April 2026

To ensure compliance and continuity, we recommend taking the following actions before the end-of-life date:

1. Install the Final Version

For customers closing tax year 2025-2026 in Earnie, you must install the final end-of-life version (due March 2026) to produce 2026 P60s.

2. Export critical reports and data

This is the only way to guarantee access to your payroll records after April 5, 2026.

How to Access Your Reports

In Earnie, navigate to: Reports → Multi Period Reports

Essential Reports to Export

You must save the following reports as PDF files to a secure location (external hard drive, cloud storage, or secure network folder). Run these reports for Weeks 1-53 and Months 1-12:

  • P11 Working Sheet – Critical for HMRC compliance and individual employee tax records

  • History Summary (All Payments) – Complete year-to-date payment history for all staff

  • P30 Summary – Essential for year-end tax reporting and verifying HMRC submissions

  • Pension Summary (All Payments) – Required for pension provider audits and auto-enrolment history

  • P60s – Year-end employee tax certificates

  • RTI History (FPS/EPS) – All Real Time Information submissions

  • Payroll Journals – If the costing module is activated

  • Audit Trails – For compliance and record-keeping

  • Any other reports you use for internal accounting

It is your responsibility to ensure that you keep payroll records in line with the HMRC requirements. Therefore we recommend you ensure the exported reports are stored securely and remain accessible for this period.

3. Complete final submissions

  • Ensure all final payroll adjustments (bonuses, terminations, holiday payouts, etc) are completed

  • As with a normal Payroll Year End please ensure that all RTI Submissions for tax year 2025/2026 are submitted by 5th April 2026

  • Generate and distribute P60s to all employees (requires the final March 2026 version)

4. Backup your Earnie data (optional)

While you may create a backup of your Earnie data files, TELUS cannot guarantee you will be able to restore or access this data after April 5, 2026, especially on a different computer.

⚠️ Exporting reports as PDF files (Step 2 above) is the only reliable way to preserve your records.

FAQs

Will I still be able to access Earnie after April 2026?

The software may continue to function for viewing historical data on your current computer after April 5, 2026, but this is not guaranteed. TELUS strongly recommends exporting all necessary reports before this date, as future access cannot be assured.

Can I still generate reports or year-end documents after April 5, 2026?

If the software continues to function on your current computer, you may be able to run and export reports on historical data. However, this is not guaranteed.

You must export all required reports before April 5, 2026 to ensure you have permanent access to your records.

Can I process payroll for the 2026/2027 tax year in Earnie?

No. After April 5, 2026, you will not be able to process compliant payroll for tax year 2026/2027 or later. The software will not be updated for new tax year requirements.

What happens to my Earnie license?

If you are on version 24.30 or later, you will be able to access Earnie for compliance and reference purposes even after your license expires, provided the software continues to function. However, you cannot process new payroll runs without a valid license.

After April 5, 2026, TELUS will not be renewing or issuing Earnie licenses.
