Overview
Follow this link to watch a demonstration of how tags can be used in Farmplan Business Cloud.
Enterprise tags can be used to group similar enterprises together for reporting.
For example you may have several arable crops that have been set up as enterprises – i.e. distinct areas of the business that you wish to cost separately. However you may wish to also report on all the crops in one year, of a particular type or maybe, if they are costed separately, at a particular location.
A Tag Group can be created called for e.g. Harvest Year which contains tags for each year.
Each enterprise can be allocated the relevant harvest year by tagging it, so that as well as reporting on the income and expenditure of each crop (by enterprise) you can also filter the Profit & Loss report for all the crops in that harvest year (by tag).
Tag Management
We have already created one default group which contains Crops, Livestock, Properties and Other tags to get you started but you can have as many Tag Groups with multiple Tags within them as you need.
Make sure that you have ‘enterprises’ activated in Company Settings – Financial Settings
Go Tools – Tags
From this screen you can add new Tag Groups by typing in the box at the top of the screen and clicking ‘Create Tag Group'
To add a new Tag to the Group, simply click on +Add Tag
Create Tag - give the tag a name. It will be allocated a colour which you can change by clicking the coloured box to the right of the tag name. Pick your colour from the chart displayed.
Create Tag will save your settings.
Edit Tag - If you wish to edit the tag name or colour just click on it
Delete Tag – To delete any tag, again just click on it and use the delete button. NB you can delete tags or tag groups at any time, and they will be removed from any enterprises they had been allocated to.
Allocate Tags to Enterprises
Once you have created Tag Groups and Tags, they can be allocated to individual enterprises. Each enterprise can have multiple tags but can only be allocated one from each group.
In the option – Tools – Enterprises you will see a list of all enterprises along with the tags that have already been allocated, if applicable:
The list of enterprises can be filtered by either the enterprise name or by the tag group/tag.
To allocate any tags to an enterprise go to the Enterprise set up screen where they can be added at the bottom.
Remember that one enterprise can have as many tags as required but only one from each group.
Profit & Loss by Tag
The Profit & Loss report, which is found in the Reports section, can be filtered by Enterprise or by Tag.
Pick the filter that you require from the top of the report. Either pick a particular enterprise or a Tag Group/Tag.
What if I want to filter by a combination of tags?
This report is only filtered by one tag at a time but if you want to use a combination of filters, simply create a new tag that will accommodate the combination you are looking for.
For example you may wish to see all the Cereals harvested in 2022. Create a Tag Group called Crop Type by Year and set up a tag called Cereals 2022 and allocate it to the relevant enterprises.
